Altus Commercial Receivables

Privacy Policy

Effective October 15, 2026

This policy explains how Altus Commercial Receivables ("Altus," "we," "us") collects, uses, shares, and protects personal information when you visit trustaltus.com, submit a form (contact, demo, account placement, resource download, partner referral, or survey), chat with us, call a phone number shown on the site, or receive text messages from us. Information Altus processes on behalf of clients while performing commercial receivables recovery services is governed by the applicable client services agreement; this policy explains how information submitted through the site enters that process.

Information we collect

We collect the following categories of personal information. Over the past 12 months we have collected each of these categories.

  • Identifiers and contact details — name, business email, phone number, company, job title, mailing address, and IP address.
  • Commercial and professional information — your company's receivables, account balances, invoices, and the services you ask about.
  • Information about other people that you provide — for account placements, the debtor business's contact name, phone, email, and address; for partner referrals, the referred client's contacts. Supporting documents you upload (such as invoices, contracts, or personal guarantees) may contain sensitive identifiers such as a Social Security, driver's license, or date-of-birth number.
  • Communications — messages you send through forms, live-chat transcripts, recordings and transcripts of calls to phone numbers shown on the site, text messages, emails, and survey responses.
  • Internet and device activity — pages viewed, referring site, campaign (UTM) parameters, browser and device type, and the date and time of your visit.
  • Approximate location — city or region inferred from your IP address.

Where we get it

Directly from you; automatically from your browser through cookies and similar technologies (subject to your cookie choices); from our clients and partners when they submit information about you (for example, a client placing an account or a partner referring your company); from service providers that help us verify or enrich business contact data; and from publicly available sources such as business registries.

How we use it

We use personal information for these business purposes:

  • Responding to inquiries, scheduling meetings, and delivering resources you request.
  • Receiving, verifying, and working account placements, and keeping a record of the authorizations and consents given with them.
  • Following up about our services where permitted, with an opt-out in every marketing email.
  • Routing and quality-assuring chats and calls, including transcribing and summarizing them so the right specialist responds.
  • Measuring which pages and campaigns bring inquiries, and improving the site.
  • Protecting the site and our forms against spam, fraud, and abuse.
  • Complying with law, responding to legal process, and enforcing our Terms of Service.

Calls, chat, and AI-assisted processing

Calls to phone numbers displayed on the site may be routed through a call-tracking provider and recorded. You will hear a notice at the start of a recorded call; if you do not want to be recorded, you can hang up and email us instead. Live-chat conversations are recorded by our chat provider.

We use artificial-intelligence service providers to transcribe call recordings and to summarize and categorize chat and call content so inquiries reach the right team. These providers process the content only on our behalf, under contracts that prohibit them from using it for their own purposes, including training their models. Decisions about you are made by people, not by these tools.

Text messages

We send text messages only to people who opt in — for example, by checking the SMS box on the account-placement form. Message frequency varies and message and data rates may apply. Reply STOP to opt out at any time, or HELP for help; you can also opt out by contacting us using the details below. Consent to receive texts is never a condition of using our services.

We do not sell, rent, or share mobile phone numbers or SMS opt-in information with third parties or affiliates for their marketing or promotional purposes. Information may be shared only with service providers that deliver our messages on our behalf.

Cookies and opt-out signals

We use strictly necessary cookies to run the site. With your permission through our cookie banner, we also use preference, statistics, and marketing cookies — including cookies set by our live-chat, call-tracking, scheduling, and map providers. Embedded content that sets its own cookies (such as maps or the booking calendar) stays off until you allow it. You can change your choices at any time through the cookie settings link or banner, and you can block cookies in your browser, though some features may then not work.

We honor Global Privacy Control (GPC) browser signals as a request to opt out of the sale or sharing of personal information, in the jurisdictions where that is required.

How we share information

We do not sell personal information, and we do not share it for cross-context behavioral advertising, as those terms are defined under California law; we have not done so in the past 12 months. We do not knowingly sell or share the personal information of anyone under 16.

We disclose personal information for business purposes only to:

  • Service providers acting on our behalf under written contracts — customer-relationship-management (CRM), email delivery, website hosting, live chat, call tracking and recording, AI transcription and summarization, appointment scheduling, cookie-consent management, and form security (bot protection).
  • Attorneys, courts, and other parties involved in collecting an account you or your client placed with us, as needed to perform those services.
  • Professional advisers, auditors, and insurers, under confidentiality obligations.
  • Government authorities or other parties when required by law, subpoena, or legal process, or to protect the rights, property, or safety of Altus or others.
  • A buyer or successor in connection with a merger, acquisition, or sale of assets, subject to this policy.

How long we keep it

We keep personal information only as long as needed for the purposes above, then delete or de-identify it. Typical periods:

  • Inquiries, demo requests, and resource downloads that do not become clients — up to 3 years after our last interaction.
  • Account placements, uploaded documents, and related consent records — for the life of the client relationship plus 7 years, to meet legal, audit, and dispute-resolution obligations.
  • Call recordings — up to 1 year; call and chat transcripts — up to 3 years.
  • Survey responses — up to 3 years.
  • Cookies — as described in the cookie banner, generally no longer than 13 months.

Security

Altus maintains SOC 1 Type II and SOC 2 Type II attestations and PCI DSS compliance for its operating environment, re-audited annually, and applies administrative, technical, and physical safeguards to information submitted through this site. No method of transmission or storage is completely secure. If a breach affecting your personal information occurs, we will notify you and regulators as required by law.

Your privacy rights

Depending on where you live — including California, Colorado, Connecticut, Virginia, Texas, Oregon, and other U.S. states with comprehensive privacy laws — you may have the right to:

  • Know and access the personal information we hold about you, including the categories, sources, purposes, and recipients described in this policy, and receive a portable copy.
  • Correct inaccurate personal information.
  • Delete personal information, subject to legal exceptions (for example, records we must keep for an open account).
  • Opt out of the sale or sharing of personal information and of targeted advertising or profiling — although we do not engage in these.
  • Appeal our decision on your request, by replying to our response. If your appeal is denied, you may contact your state attorney general.
  • Not be discriminated against for exercising these rights.

How to make a request

Email info@altusrm.com or call us toll-free at 1-800-509-6060. To protect you, we will verify your identity by matching information you provide with information we hold, and we may ask for more if needed. You may use an authorized agent; we will ask the agent for proof of your signed permission and may ask you to confirm your identity directly. We respond within 45 days, and will tell you if we need up to 45 more. We use sensitive personal information (such as identifiers in uploaded documents) only to provide the services requested and for other purposes permitted by law, not to infer characteristics about you.

California residents may also request, once a year, information about any disclosure of personal information to third parties for their direct-marketing purposes (California Civil Code § 1798.83). We do not make such disclosures.

Job applicants

Applications are submitted through our third-party applicant-tracking platform, whose own notice also applies. We use applicant information — such as contact details, employment history, education, and any information you choose to provide — only to evaluate candidates, comply with employment law, and keep hiring records, and we retain it for up to 3 years. California applicants have the rights described above.

Visitors outside the United States

Altus is based in the United States, and information you submit is processed in the United States, where privacy laws may differ from those in your country. When we transfer personal information from Canada, the European Economic Area, the United Kingdom, or Switzerland, we use safeguards required by applicable law, such as contractual protections.

If the EU or UK General Data Protection Regulation applies to you, we rely on the following legal bases: performing a contract or taking steps at your request (responding to inquiries and placements), our legitimate interests (securing the site, following up with business contacts, and recovering receivables owed to our clients), your consent (non-essential cookies and text messages, which you can withdraw at any time), and compliance with legal obligations. You may access, correct, erase, restrict, or object to processing, request portability, and lodge a complaint with your local data-protection authority.

Canadian residents may contact our Privacy Officer using the details below with any question or request concerning access to or correction of personal information.

Children

This site is intended for business users and is not directed to children under 16. We do not knowingly collect personal information from children; if you believe a child has provided us information, contact us and we will delete it.

Changes to this policy

We review this policy at least once a year and may update it from time to time. Material changes will be posted here with a new effective date and, where required, communicated to you directly.
